Meetings and Appointments Coordination

Assist in scheduling Client Relations Group meetings, conference calls, video conferences, etc., including room reservations, catering needs, materials preparation, etc.  Apply judgment based on key participant availability and other factors.  Coordinate closely with participants and their assistants to ensure seamless service.  Manage and calendar meeting requests for Director and Managers, using judgment and discretion to ensure appropriate prioritization.  Facilitate interface between Group and external constituencies, including clients, professional organizations, etc.  Manage often complex arrangements involving multiple parties and levels of communications.   Assist in preparing Director and Managers to attend key meetings such as meetings with client relationship partners and client teams, briefings with industry analysts, meetings with industry organizations, etc.

 Administrative Coordination  Assist in establishing and implementing Group administrative and organization protocols and processes; proactively initiate administrative projects to support Director and Managers and to address process improvement.  Assist in drafting correspondence and communications, ensuring accuracy and consistency.   Ensure administrative needs of Director and Managers are met, including preparation of reimbursements, copying, faxing, meeting materials, office organization, etc.  Review incoming mail; apply discretion and knowledge of business needs to assess which mail should receive review by Director and/or Managers.  Ensure that urgent items are noted and forwarded appropriately to ensure priority attention.  Personally follow through on mail not reviewed by Director and/or Managers.  Assist Director and Managers with travel arrangements and office visits as needed.  Maintain various records and files that are not part of the Records Center.  Maintain documents related to Group’s emergency preparedness. 

Client Relations Materials and Research

Working closely with Director and Managers, assists in gathering and researching client information, practice information, and industry data relevant to Firm clients and business strategies.  Assist in researching and preparing operating templates that include client profiles, updates, client extranets, news alerts, industry reports, practice reports, and competitor reports.  Assist in preparing presentation and meeting materials, including editing PowerPoint presentations, assembling collateral, etc.; collaborate closely with administrative departments such as Marketing, word processing, Mail Center, Copy Center, etc.  Keep abreast of and maintain knowledge of the Client Relations Groups matters and projects; assist in ensuring relevant information is shared effectively within and outside of the Group.  Coordinate projects within and outside of Group; assist in project implementations.  Develop and maintain Group information repositories and retrieval systems, such as internal community page, binders, electronic data folders, etc., to collect relevant information, and to ensure it is effectively organized and easily accessed.   Assist in establishing and updating intranet data pages for Client Teams.   Assist in preparation of key metrics reports.  Maintain collateral for Client Relations Group, ensuring materials are current, reproduced to highest standard, and well organized.

QUALIFICATIONS

Education and Experience

Educational background in communications, marketing, or related field preferred.  Three or more years experience in communications, marketing, or administrative assistance or equivalent work and educational experience.  Law firm experience preferred. Ability to exchange information and to present ideas, report facts and other information clearly and concisely with all levels of the Firm.  A highly proactive, solution-oriented approach to work and interactions.  Talent for delivering client service through teamwork.  Ability to take an assignment from inception to completion with minimal supervision or by following broad guidelines.  Creative problem solving skills and the ability to think beyond the task or project at hand.  High level of accuracy and attention to detail.  Strong writing, editing, and proofreading skills.  Strong research skills and proficiency in utilizing electronic searches and databases.  Ability to manage multiple requests, assess priorities, and achieve solutions under deadlines.
