Responsibilities: Under general supervision, and in the context of a self
directed work team environment, performs complex secretarial, administrative,
word processing and clerical support activities related to the specific work and
function of litigation attorneys and legal assistants, including trial
preparation and trial assistance. Overtime may be required. Responsible for
ensuring client satisfaction is achieved throughout all position
responsibilities.

Essential
Functions: Secretarial Support
1. Document
Preparation:
a. From shorthand notes, transcribing equipment, drafts, handwritten notes, or
oral instructions, types a variety of correspondence, reports, memoranda and
legal documents required by the attorneys/legal assistants to whom assigned.
b. Proofreads, photocopies, assembles and distributes prepared material as
necessary.
c. Coordinates lengthy document production with Word Processing personnel.
d. Keyboards or scans and revises a variety of documents.
e. Redlines documents as directed.
2. Correspondence:
a. Originates correspondence as directed.
b. Reviews and routes incoming correspondence.
3. Timekeeping &
Billing:
a. Prepares daily timenotes for each assigned timekeeper.
b. Under general direction, prepares statements for billings to be sent through
Accounting Department to clients for services rendered and completes complex
clerical procedures relating to billing.
4. Other
Responsibilities:
a. Calendars due dates, speaking engagements, meetings and deadlines.
b. Makes appointments and schedules interviews.
c. Creates and maintains files and indexes; maintains files not stored in
Records Center.
d. Screens and routes telephone calls.
e. Receives and directs clients and visitors.
f. Coordinates travel arrangements with travel agency and firm’s Travel
Coordinator.
5. Safety:
Responsible for adhering to the firm’s General Safety Practices and any unique
safety practices for department.
6. May provide
notarial services as a firm notary public.
Client Service and Satisfaction in
Secretarial Services
1. Ensure that
internal and external clients receive exemplary, seamless support in all aspects
of job position.
2. Proactively
communicate with internal and external clients to ensure that secretarial needs
are met.
3. Regularly review
client service procedures and standards related to secretarial services;
identify and implement improvements and enhancement to client service.
Secondary
Functions:
1. Provides
overflow assistance as requested.
2. Adhere to the
Firm's General Safety Practices and any unique safety practices for department.
3. Other duties as
assigned.

Qualifications:
1. Previous legal
or executive secretarial experience essential; litigation experience preferred.
2. Ability to work
under pressure and maintain flexibility regarding work assignments.
3. Ability to work
effectively with others essential.
4. Excellent
communication skills.
5. Typing speed of
70 words per minute preferred.
6. MS Word
experience required.
7. Availability to
work overtime; flexibility regarding work schedule required.
